WHO WE ARE

Foxwood Property Company Ltd ("FPC", "we", "us") is the data controller for the personal data collected through this website and in connection with your stay. WHAT WE COLLECT

When you enquire, book or stay with us we collect: your name, email address, phone number and postal address; the names and ages (adult or child) of the people in your party; your arrival and departure dates and any requests you make; vehicle registration where parking is used; payment details, which are processed and stored by Stripe (we never see or store your full card number); a copy of photo ID where we ask for it under our booking terms; and any correspondence between us.

WHY WE USE IT AND OUR LAWFUL BASIS

To take and manage your booking, provide the accommodation, take payment and deal with any issues during or after your stay (performance of a contract). To meet our legal obligations, including tax and accounting records and, where applicable, security deposit and damage claims (legal obligation and legitimate interests). To keep the apartments and the building secure and to verify the identity of the person booking (legitimate interests). To send you occasional emails about our apartments and offers if you have stayed with us and have not opted out (legitimate interests, under the "soft opt-in" rules in the Privacy and Electronic Communications Regulations). You can unsubscribe at any time using the link in any email or by contacting us.

WHO WE SHARE IT WITH

We share only what is needed to run your booking: our channel manager and booking software (AdvanceCM and Webready), our payment processor (Stripe), our email and messaging providers, our cleaning and linen contractors (arrival and departure dates and party size only), and our accountants where required for statutory records. We do not sell your data. If you booked through a third-party platform such as Airbnb or Booking.com, that platform is a separate data controller and its own privacy policy applies to the data it holds.

HOW LONG WE KEEP IT

Booking and payment records are kept for six years after the end of the tax year in which your stay took place, to meet HMRC requirements. Copies of photo ID are deleted within 30 days of your departure unless needed for an open claim. Marketing contact details are kept until you unsubscribe or until three years after your last stay, whichever is sooner.

YOUR RIGHTS

You have the right to ask for a copy of the personal data we hold about you, to have inaccurate data corrected, to have your data erased where we no longer need it, to object to or restrict certain processing, and to withdraw consent where we rely on it. To exercise any of these rights, email foxwoodpropertycompany@gmail.com. We will respond within one month. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

This website uses only the cookies necessary for it to function and to process bookings, plus analytics cookies if you accept them. You can control cookies through your browser settings.
